Electronic Reserves: Instructions and Deadlines
PURPOSE
Guidelines for submitting material for EReserves.

RESERVE LIST SUBMISSION DEADLINES
Please submit Reserve Requests by these deadlines in order to ensure that materials are available for student use.
 
Fall 2007: August 17, 2007
Winter 2008: December 7, 2007
Spring 2008: March 3, 2008
 
LIBRARY ONLINE INSTRUCTIONAL SUPPORT
- Faculty interested in placing course material online should first contact the Center for Instructional Technology by email or at (415) 502-6678.
- Learn more about online course options.
 
TYPES OF COURSE MATERIAL ACCEPTED
- Material scanned from UCSF-owned print collection.
- Other material with copyright permission, such as journal articles or chapters from books not owned or licensed by UCSF.
- UCSF-owned or -licensed digital versions of copyrighted material, e.g., Nature, Cochrane Library, Harrison's Online, Encyclopedia Britannica. Citations and links to the electronic version of the material will be added to the electronic reserve system.
- For instructor or department material (e.g., lecture notes or exams), please first contact the Center for Instructional Technology by email or at (415) 502-6678.
- The Library will accept up 75 digital items per course web page.
 
SUBMISSION FORMS
Course Reserves Request Form
Requests will only be accepted via the request forms provided by the Library. Digital and paper material can be listed on the same form.
Copyright Compliance Statement (for use with PDF request form only)
A one-time requirement; must be signed by the primary instructor and returned to the Library before any processing can begin. It is the instructor's responsibility to adhere to the copyright standards as outlined in the EReserves Copyright Guidelines.
Submission of PDF forms: Return forms in person, by mail to Box 0840, or fax to (415) 476-6244.
Special or unusual requests should be discussed with the Reserve Assistant or Access Services Supervisor prior to submission of the list.
 
PROCESSING
- Request lists are processed in the order received. It is strongly recommended that above deadlines be met to ensure that materials are available for student use.
- Processing generally takes 5 working days, holidays and weekends excluded.
- Request lists with incomplete or erroneous information may be subject to significant delays in processing.
- Notification will be sent when the Library has completed each request list to allow faculty to review material before announcing it to their students.
 
COPYRIGHT COMPLIANCE
- Instructors are responsible for adhering to Copyright Guidelines.
- Material may be reviewed by Library staff to ensure it complies with copyright law and library policy. Instructors will be contacted immediately if any copyright concerns are noted by Library staff before material is placed in EReserves.
- Should the reproduction of a particular item be prohibited by copyright law, faculty can purchase copyright clearance to allow its use. The Academic Permissions Service (APS) of the Copyright Clearance Center provides an automated copyright permissions service.

SENDING MATERIAL
- Faculty who currently have material in the Print/AV Course Reserve and wish to place the same material in EReserves: Please email EReserves staff providing course name/number, complete citation, and your contact information.
- Once the signed Copyright Compliance Statement and Request Form have been turned in and the Library has created an EReserves course web page, you may fax items listed on your Request Form to the EReserves DocuFax at (415) 514-3280.
- Faxed materials are automatically converted to .pdf files in the EReserves system.
- Material should be faxed on white, single-sided, clean 8.5 x 11 paper. Pages should be typed or written in black or blue ink. Pencil and other colored ink are not recommended, as they do not show up clearly in EReserves.
- The larger the .pdf file size, the longer it takes to download. It is highly recommended that material containing many pages be divided as evenly as possible into smaller segments of 15-20 pages.
 
ACCESS
- Remote Access to EReserves is limited to the UCSF community using the campus network or VPN. See more information about remote access options. Users will need to have the free Acrobat Reader plug-in and a recent version of either Internet Explorer (IE) or Netscape.
- Access to EReserves is available at all GALEN workstations and in the Interactive Learning Center (ILC) computers in the Library.
 
DISPOSITION OF MATERIAL
Material will only be available during the academic session in which a course is offered. Thereafter, it will be deleted unless the instructor has secured copyright clearance and made prior arrangements with the Library.
